Job Summary

This is a full-time, term-limited position ending after one year. This position is scheduled to begin 7/1/2018.

The University of Michigan, School of Nursing (UMSN) is seeking a Project Intermediate Manager to lead and support a variety of projects and various initiatives. The Project Intermediate Manager will have responsibility and accountability for the development of detailed work plans, project schedules, resource plans, project status reports, issues documentation, and ensuring project deliverables adhere to the highest of quality standards. The Project Intermediate Manager will support several business and operations directors on specified assignments and tasks. S/he will complete complex projects that typically arise from strategic plans and decisions made by the UMSN leadership. The Project Intermediate Manager will be responsible for the management, performance and completion of such projects, and will work across functional areas, together with faculty and staff at all levels of the organization.

Responsibilities*

  • Manage special projects, as assigned, by the Office of Business and Operations.

  • Develop detailed project timeline procedures and tools to track and report on multiple projects, competing priorities, large quantities of information, resource assignments and escalation items.

  • Coordinate the information gathering and the implementation of recommendations of the UMSN Safety Task Force at the direction of the task force chair.

  • Provide administrative support and support for special projects for Business and Operations directors.

  • Perform project management and business analysis activities that will directly support the successful activation of our new UMSN office space and common space.

  • Provide general special event logistical support and assist in establishing guidelines and a process for requesting events.

  • Assist with the coordination of requests for general facilities repairs and general facilities maintenance. Maintain and update various facilities databases.

  • Provide regular briefings and reports to the UMSN leadership on projects and work status, outstanding issues, escalation, communications and activities.

  • Facilitate purchase orders and liaise with finance team on budget matters.

  • Develop communication strategies with community as mechanism for providing project updates.

  • Ensure appropriate signage is ordered and displayed.

  • Develop plans to bring project on-line as it nears completion.

  • Perform project management duties and provide coordination efforts such as developing meeting agendas, gathering relevant meeting materials, assigning responsibilities to team members, preparing presentation materials, documenting outstanding issues and following up on unresolved issues.

  • Other duties as assigned.

SUPERVISION RECEIVED

Supervision is received from the Director of Operational Support Services within the Office of Business and Operations.

Required Qualifications*

Education/Experience:

  • A Bachelor’s degree in Business or related field is required; Master’s degree preferred.

  • Five (5) years of project management work experience, or equivalent work experience.

  • Demonstrated project management and business analysis experience in planning, executing and completing complex projects.

  • Demonstrated ability to lead projects of all types, including benchmarking data, background materials, procedure documentation, etc.

  • Ability to present complex information in an understandable, well documented and cohesive manner for presentation to task force teams and to executive leadership, [individual may be asked to provide 1 – 2 page writing sample for review]

  • Must have very strong presentation skills.

  • Expert knowledge of Microsoft Office products (Word, Excel, Outlook, Access, and PowerPoint), as well as other database, email and calendar-keeping software.

  • Candidate must have excellent teamwork and communication skills, with the ability to receive and convey information clearly and concisely for various mediums. Attributes:

  • A proven record of high-level support for managers; ability to support on a wide variety of tasks and projects.

  • A proven record of project management and business analysis experience on complex projects, including preparation of detailed plans and schedules; issues documentation; tracking mechanisms; thorough, clear and factual project materials (based on detailed analysis); advanced preparation for project meetings, thorough meeting minutes and follow-up of assigned tasks.

  • Ability to originate, vet and communicate the documentation of processes.

  • Exceptional attention to detail and timely follow through on assignments is essential.

  • Strong analytical skills and able to serve as a technical liaison between UMSN stakeholders and technology resources in the design, development and testing of automated tools, databases, functional reports, and user and system interfaces (including interfaces to U-M enterprise systems, as necessary).

  • Excellent problem solving capability, exceptional critical thinking, analytical and research skills.

  • Able to work independently with minimal supervision and maximum collaboration in a team environment.

  • Must reliably and effectively manage high priority projects simultaneously in a high-paced environment.

  • Demonstrates a high degree of initiative, resourcefulness, and the ability to anticipate needs of relevance to academic and research environments.

  • Able to set priorities, handle multiple assignments and deadlines, and display excellent judgment while operating in a flexible and professional manner.

  • Familiarity with the UMSN operations and business processes preferred.

  • Working knowledge of the University organization, policies and procedures is preferred.

Additional Information

Shift/Hours/Days: 8:00 a.m. - 5:00 p.m., Monday through Friday; some occasional weekend and evening hours may be required.
